Description
ACMG is seeking an experienced, results oriented, creative, and highly motivated professional to fill the new full-time Exhibits and Sponsorship Manager position. This position will be focused on revenue growth, cost savings, and innovation and is responsible for the planning, development, and execution of the exhibits at the ACMG Annual Meeting. The position requires expertise in both the logistics and sales components of midsize citywide tradeshows that include integrated education and learning events in conjunction with an exhibition and poster hall.
The position reports directly to the Senior Director of Meetings and Exhibits and will collaborate with the Meetings & Exhibits department staff, as well as other key departments, ACMG leadership and volunteer members and will be a key team player in the success of ACMG’s meetings and other events and services. This position is expected to direct and grow the Association's exhibitions and ensure best-in-class operational management and experience for ACMG exhibitors.

Founded in 1991, the American College of Medical Genetics and Genomics (ACMG) is a prominent authority in the field of medical genetics and genomics and is the only medical specialty society in the US that represents the full spectrum of medical genetics disciplines in a single organization. ACMG provides education, resources and a voice for more than 2,600 clinical and laboratory medical geneticists through advocacy, education and clinical research. The ACMG Foundation for Genetic and Genomic Medicine works to advance ACMG educational and public health programs through charitable gifts from corporations, foundations and individuals. The ACMG Annual Clinical Genetics Meeting is the premier gathering for professionals in medical and clinical genetics, bringing together more than 3,000 genetic and genomic specialists from around the world. The meeting presents the latest advances in genetics and genomics research, clinical applications, and scientific discovery through a comprehensive program of educational sessions and presentations.
The Exhibit and Poster Hall showcase leading companies and organizations advancing the field of clinical genetics and genomic medicine and features developments in therapeutics and emerging gene therapies, testing technologies, laboratory supplies, family and patient advocacy initiatives, educational resources and publications. The hall also includes scientific poster presentations, exhibit theaters, learning lounges, and a variety of attendee engagement activities.
Overview:
The Exhibits and Sponsorship Manager will play a pivotal role in leading the development, management, sales, fulfillment of exhibit and sponsorship programs, and will facilitate continued exhibition and revenue growth, and innovation of the exhibition. Balancing a sales mindset as well exhibition operations, this role is crucial in driving revenue growth, delivering exceptional customer experiences, ensuring the operational success of the ACMG Annual Meeting. Duties will include, but are not limited to the following:
Exhibits Operations and Management
Manage all aspects of exhibition and sponsorship operations from planning through post-event reporting, including logistics, vendor coordination, exhibitor communications, contract management, invoicing, payment collection, and fulfillment of deliverables.
Design and manage floor plans for the Exhibit and Poster Hall to include booths, scientific posters, specialty pavilions, and attendee engagement areas, and assign booths.
Serve as the primary point of contact for exhibitors, sponsors, vendors, and contractors, providing exceptional customer service and ensuring compliance with all rules, regulations, and safety requirements.
Work with the meetings team and the General Services Contractor to coordinate the show “look”, show orders, exhibit related signage production including editing and approving proofs in line with deadlines.
Review, process and ensure all appropriate insurance requirements are in place for exhibitors.
Oversee exhibit hall setup, operation, and teardown to ensure smooth execution and adherence to legal, health, and safety requirements and serve as main POC for on-site management of the exhibit hall.
Coordinate all exhibit related vendor and facility logistics, including security, venue coordination, and general service contractors; negotiate contracts and confirm deliverables as needed.
Maintain and update the exhibitor and sponsor databases, service kits, and relevant materials serving as the point person for the Exhibit Management Platform.
Support and implement strategic and operational productivity to enhance the attendee and exhibitor event experience.
Exhibitor Relations and Sales
Develop marketing plans for exhibits and sponsorships, advertising and other support opportunities.
Develop and implement sponsorship, advertising, and exhibit sales plans, including promotional campaigns, sales collateral, contracts, and other sales related support.
Identify, recruit, and retain exhibitors and sponsors through proactive research, outreach, and consultative sales strategies to meet and exceed revenue goals.
Follow up with past exhibitors and sponsors that have not participated in recent years and recruit new exhibitors and sponsors to meet and exceed sponsorship and exhibit revenue targets.
Manage the full sales cycle for exhibitors and sponsors from prospecting and contracting through invoicing, fulfillment of deliverables, and post-event follow-up, ensuring a seamless experience for all partners.
Implement improvements to the entire sales cycle, including prospecting onsite logistics and post-event feedback.
Maintain and oversee the Exhibit Management Platform and CRM systems, ensuring accurate and current records for exhibitors, sponsors, and partners.
Collaborate closely with the Meetings Team to align sales strategies with event logistics and enhance the overall exhibitor and sponsor experience.
Analyze performance data and post-event feedback to refine sales strategies and identify new revenue opportunities.
Financial Planning and Continuous Improvement
Support annual budget development and monitor departmental expenditures, ensuring financial accuracy and accountability.
Coordinate production schedules, pre-show marketing, on-site logistics, and in conjunction with internal departments and vendors.
Track and report exhibit sales and sponsorship revenue, performance metrics, and post-show evaluations to support continuous improvement.
Contribute to the annual update of the Crisis and Emergency Plan.
Update, distribute, tabulate and analyze post-show evaluations.
Manage the Industry Supported Satellite Symposia and other industry-related activities held in conjunction with the Annual Meeting.
Deliver outstanding customer service to exhibitors and sponsors, promptly resolving inquiries and operational challenges.
Analyze event performance and develop recommendations for continuous improvement, innovation, and enhanced profitability.
Conduct site visits as needed and participate in post-conference debriefs and future planning sessions.
Perform additional related duties as assigned.
Qualifications, Knowledge, and Skills Required
The ideal candidate is a self-starter with a strong background in scientific or medical meetings and business events, encompassing both exhibit operations and sales. This individual demonstrates exceptional customer service, attention to detail, and the ability to manage multiple priorities while working collaboratively within a team environment.
Knowledge, Skills & Experience:
5–7 years of experience in tradeshow operations and sales, preferably within a scientific, medical, or nonprofit professional society setting.
Bachelor’s degree required.
Familiar with ACCME compliance related to sponsorships and industry-supported activities.
Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Access) with the ability to learn and adopt new software quickly.
Experience with exhibit management or CRM platforms (e.g., a2z, eShow, Map Your Show, Expocad).
Ability to plan, organize, and execute multiple concurrent projects with accuracy and efficiency.
Skilled in setting priorities, meeting deadlines, and problem-solving independently.
Experience in the management of marketing, promotion, sponsorship sales, and exhibit operations, including budgeting and financial tracking.
Excellent verbal and written communication skills and ability to interact effectively with diverse groups including members, association leaders, exhibitors, sponsors, and vendors.
Experience negotiating and managing contracts with vendors, exhibitors, and sponsors.
Strong customer service orientation and collaborative approach to team and stakeholder engagement.
Possess the ability to think creatively with a proactive perspective, and the ability to assess and recommend process improvements.

A “can do” attitude, with a strong willingness to take on new challenges, learn, and grow.
Ability to travel approximately 20% of time both domestically and internationally for meetings, site visits, tie down meetings and attending related association meetings.
