Description
The Program Director ensures all client services/programs are of the highest quality possible and are consistent with the mission of Willow Pregnancy Support. For the South Office this position is responsible for providing direct client care, volunteer training, scheduling, support, and ensuring proper center supply and function in accordance with the goals and objectives of Willow Pregnancy Support. The Program Director also oversees all three Willow offices’ program functions confirming that all offices abide by Willow Pregnancy Support policies and procedures.
Responsibilities
Ensures Willow Pregnancy Support policies and procedures are being followed and enforced at the Willow South Office
Tracks and submits data to the Oklahoma Pregnancy Care Network for all eligible services
Manages South Office maintaining a pleasant work environment and ensuring high levels of organizational effectiveness, communication, and safety
Manages general site and building maintenance issues for South office
Answers phones, voicemails, email, and written inquiries in a timely manner
Recruits, manages, and trains volunteers for South Office
Schedules, equips, and assigns volunteers to ensure continual, consistent operating hours for the South Office
Upholds a strict level of confidentiality
Ensures all South Office client visits are entered and recorded with accuracy including client data and outcomes
Provides general support of visitors for South Office
Manages and troubleshoots IT functions including phones and all office equipment for South Office
Keeps skills current on software needed to complete required office functions
Represents Willow Pregnancy Support at community events
Participates in all fundraising activities for Willow Pregnancy Support and Rose Home
Maintains office statistics
Submits a board report for each scheduled board meeting
Attends all board and staff meetings
Maintains office hours at a minimum of 30 hours per week
Tracks working hours online with Eddy HR Software
Performs all other duties as assigned
Requirements
Qualifications
Bachelor’s degree
Works independently and follows through on assignments with
minimal direction
Highly organized and able to handle multiple projects and deadlines with exceptional attention to detail
Well-developed management and interpersonal skills
Record maintenance/management experience
Computer literate including knowledge of Microsoft Word, Excel, and data entry software
Detail Oriented
Strong verbal and written communication skills
Effective organization and problem-solving skills
Ability to deal compassionately and effectively with the public, staff at all levels, board members, and donors in a personable and professional manner
Skills & Abilities Required
Adheres to Willow Pregnancy Support's Policy and Procedures
Acts as a role model within and outside the organization
Performs duties as workload necessitates
Maintains a positive and respectful attitude
Communicates regularly with supervisor about department issues
Demonstrates flexible and efficient time management and ability to prioritize workload
Consistently reports to work on time prepared to perform duties of position
Meets Department productivity standards
